Booking Large Venues
I have noticed an increased interest in promoters who are pursuing large auditoriums and arenas to promote shows this spring and summer. Many of you are growing and taking advantage of the bigger opportunities we have been able to offer you over the past few years. It goes without saying that bigger venues present bigger challenges. It involves more paperwork, more organization, more planning, more people, and more (mo') money. I have put together a few guidelines to consider before meeting with a representative of a large venue. If you are not quite ready to make the leap, this will give you an idea of the basic requirements needed to take your business to the next level.

Get legal
counsel.

Incorporate your business and do everything in the name of your business. This will help
protect your assets, if something goes wrong.

Always schedule appointments early in the week.
Arrive on time and dress professionally.

Be prepared to discuss past concert promotion, venue rental experience and the event you
are proposing. Express any special needs because car shows, large machinery, fireworks,
flammable material, and some genres of music may require additional assistance from the
Fire and/or Police Departments.

Have professional and bank references. Plus know the names, addresses and partnership
or corporation titles of your business associates.

During the meeting ask about Comprehensive General Liability and Automobile Liability (If
applicable), food and beverage concession policy, itemized rental pricing, production and
personnel policies and rates, security, seating capacity, box office fees, can they get a lower
tv/radio advertising rate for you, license and permit requirements, and any additional rental
fees.
The first step in successfully booking and promoting a big show is understanding the costs
and venue policies involved. Get to know the event manager. Plan ahead and always try and negotiate the best possible deal for your situation.
